KVS Issues Revised Guidelines for Name Correction/Change in Kendriya Vidyalayas: KVS Order
New Delhi: Kendriya Vidyalaya Sangathan (KVS) has issued new guidelines for the correction or change of names of students and their parents in all Kendriya Vidyalayas across India. KVS order, dated September 29, 2025, supersedes all previous instructions on the subject and brings uniformity, transparency, and legal compliance to the process.
The directive was issued from KVS Headquarters, New Delhi, based on the recommendations of a committee constituted for the purpose and approved by the competent authority.
Key Highlights of the New KVS Guidelines
1. Minor Corrections at Vidyalaya Level
Principals of Kendriya Vidyalayas have been given the power to make minor corrections in student or parent names where:
- Clerical or typographical errors occurred during initial entry, or
- Spelling, sequence, or middle name corrections are requested (e.g. Kabir → Kabeer, Anjana Mishra → Anjana Kumari Mishra).
Such corrections will require:
- A written request from the parents,
- An affidavit before a First-Class Magistrate confirming that both versions belong to the same person,
- Relevant identity proofs like Aadhaar and service record certificates (for government employees).
2. Major Corrections Requiring Regional Office Approval
Cases involving substantial name changes (e.g. Dolly → Ishika or Vivek Anand → Vivek Kaushal) must be forwarded to the Regional Office (RO) for approval.
Documents required include:
- Application from parents,
- Gazette notification,
- Affidavit before a Magistrate confirming identity,
- Aadhaar and, if applicable, service records of government employees.
The same procedure applies to major name changes of parents.
3. Changes Due to Marriage, Divorce, Adoption, or Death
In cases of change in parentage or family circumstances (marriage, remarriage, adoption, divorce, or death of a biological parent), requests will be considered only upon submission of:
- Gazette notification,
- Court orders or a death certificate,
- Aadhaar and service record proof, and
- Duly filled Annexure-I provided by KVS.
4. Transfer and Inter-School Cases
If an error originated in another Kendriya Vidyalaya, the current Principal must coordinate with the previous school for necessary rectification after due verification.
For students admitted from non-KV schools, the details in the Transfer Certificate (TC) will be treated as authentic, and only minor spelling corrections can be made with supporting documents.
5. Consistency with CBSE Records
For students in Classes IX–XII, any change must strictly comply with CBSE norms to ensure consistency between school and board records.
6. Record-Keeping and Verification
Corrections must be made in red ink, with the previous entries circled (not erased), and duly attested by the Principal with signature and date. All supporting documents and approvals must be preserved in the student’s record file.
Important Note
KVS has clarified that requests for name change should be discouraged unless there is a genuine need. During admission, parents and school authorities must carefully verify all details to prevent future discrepancies.
Any case not covered by these new norms will be referred to KVS Headquarters for examination and further clarification
